Time tracking and clock-in/out

How field workers record their hours through the field app — GPS-verified clock-in/out, automatic break tracking, and manual entry for corrections.

Time tracking captures the actual hours your crews spend on each project. Workers clock in and out through the field app, and Gradeworks records the time with location verification. Accurate time data flows into timesheets, labor cost calculations, job costing reports, and project cost tracking — it's the foundation of accurate field data.

Clocking in

When a worker arrives at a job site, they open the field app and tap Clock In. The app shows their dispatched assignment for the day — project, block, and site address. Clock-in records the time and your location. If your company uses location boundaries around job sites, the time entry is automatically marked as verified when you clock in on site.

Clocking out

At the end of the work day (or when leaving the site), the worker taps Clock Out. The app records the out time and location. Total hours are calculated automatically, accounting for any break time. If the worker forgets to clock out, the system flags the open time entry for dispatcher or foreman review.

Break tracking

Workers can log breaks within a time entry. Tap Start Break to pause the clock and End Break to resume. Break time is subtracted from total hours. If your company has a standard break policy (e.g., 30-minute lunch at 4+ hours), the system can auto-deduct breaks based on your configuration in Settings > Company > Payroll.

Pro tip
Enable the geofence clock-in reminder. When a worker arrives at a job site during their scheduled time, they get a reminder to clock in. This catches the workers who forget to open the app and lose 10-15 minutes of trackable time every morning.

Manual time entries

Dispatchers and foremen can create manual time entries for workers who forgot to clock in, lost phone signal, or had a phone die. Navigate to the dispatch board, click the crew member, and add a manual entry with start time, end time, and a note explaining why it's manual. Manual entries are flagged on timesheets for review — they're not GPS-verified but they ensure hours aren't lost.

Time entry corrections

To correct a time entry (wrong clock-out time, forgot a break), the worker or their foreman can edit it from the field app. Edits are logged with the original and corrected values. The timesheet shows edited entries with a flag so the approver can review the change. Only foremen and dispatchers can edit other workers' entries — workers can only edit their own.
