Search and filtering

Find anything in Gradeworks instantly with global search, and use filters to narrow lists to exactly what you need — across bids, projects, timesheets, and more.

As your data grows — hundreds of bids, dozens of active projects, thousands of time entries — finding what you need quickly becomes essential. Gradeworks has two tools for this: global search for finding specific items, and filters for narrowing lists.

Press Cmd/Ctrl + K to open global search. Type any keyword — a customer name, project number, address, or team member. Results appear grouped by type (Bids, Projects, Customers, Users) with the most relevant matches first. Click a result to jump directly to it. Search looks at names, addresses, descriptions, and IDs.

List filters

Every list view in Gradeworks (bid list, project list, timesheet list, dispatch board) has a filter bar at the top. Filters narrow the displayed items without affecting the underlying data. Available filter options depend on the view — bids can be filtered by status, customer, and date range; timesheets by worker, week, and sign-off status.

  1. Click the filter icon or Filter button at the top of any list
  2. Select a filter category (e.g., Status, Customer, Date Range)
  3. Choose the filter value(s) — multiple selections are supported
  4. The list updates immediately — only matching items are shown
  5. Active filters are shown as chips above the list — click × to remove one, or Clear All to reset

Combining filters

Filters are additive: selecting Status: Awarded AND Customer: ABC Construction shows only awarded bids for that customer. Add a date range to narrow further. This is useful for quarterly reviews, customer history lookups, and audit preparation.

Pro tip
After applying filters, use the export button to download just the filtered results. Need all awarded bids from Q1 for a bonding report? Filter by status and date range, then export. The CSV contains only what's on screen.

Sorting

Click any column header to sort by that column. Click again to reverse the sort order. Sorting works with active filters — sort your filtered awarded bids by value to see the largest jobs first. The current sort is indicated by an arrow icon in the column header.
