The crew calendar

View crew availability across all projects at a glance — find open slots, spot conflicts, and make scheduling decisions with full visibility.

The project timeline shows one project at a time. The crew calendar shows all projects at once — every crew's assignments across every active project, on a single calendar. This is where you answer "Is Dirt Crew A available next Tuesday?" without opening five different projects.

Reading the calendar

The vertical axis lists all active crews. The horizontal axis shows calendar days. Each crew row shows all of their work block assignments across all projects, color-coded by project. Gaps are open availability. Overlaps are conflicts. The current date is highlighted.

Finding availability

Scan the calendar for gaps in a crew's row — those are open days. Filter by crew type (dirt, paving, utility) to focus on the crews relevant to the work you're scheduling. The calendar updates in real time as blocks are added, moved, or completed across all projects.

Resolving conflicts

When a crew is double-booked — assigned to two blocks on the same day across different projects — the calendar shows an overlap indicator. Click the overlap to see which projects and blocks conflict. Resolve by reassigning one block to a different crew, moving one block to a different date, or splitting the crew (if they can serve both sites in a day).

Pro tip
Check the crew calendar before committing to a project start date with a customer. The timeline for a single project might look perfect, but the crew calendar reveals whether the crews you need are actually available. A schedule that doesn't have crews is a wish list, not a plan.

Utilization tracking

The crew calendar shows how busy each crew is per week — what percentage of available working days they're assigned to jobs. If a crew is sitting idle too often, they're costing you money. If they're booked solid with no gaps, you have no room for emergencies or weather delays. Aim for a balance — enough work to stay profitable with enough buffer to stay flexible.
