Managing crew assignments

Assign crews and equipment to work blocks, handle reassignments when plans change, and keep a clear record of who did what on every project.

Every work block needs a crew to do the work and equipment to do it with. Crew assignments connect the schedule to the people and machines. Good assignments consider crew type, availability, proximity, and equipment needs — and they change frequently as field conditions evolve.

Making an assignment

  1. Open a work block (from the timeline or dispatch board)
  2. Select a crew from the Crew dropdown — crews are filtered by type, and availability is shown inline
  3. Add equipment from the Equipment section — default equipment for the crew auto-populates
  4. Add any additional equipment needed for this specific block
  5. Save — the assignment appears on the dispatch board and the crew calendar

Choosing the right crew

The crew dropdown shows each crew's availability for the block's date range. A green dot means the crew is fully available. A yellow dot means partially available (assigned elsewhere for some of the days). A red dot means fully booked. Filter by crew type to see only relevant crews — a paving block should be assigned to a paving crew, not a utility crew.

Reassigning crews

Drag a block from one crew row to another on the dispatch board for a quick reassignment. Or open the block and change the crew in the dropdown. Reassignment history is tracked — the block's history tab shows every crew that was assigned and when. If a crew was reassigned mid-block (started with Crew A, finished with Crew B), both crews appear in the history.

Did you know?
When you reassign a block, Gradeworks moves the crew's default equipment with it. If the new crew has different default equipment, you'll see a prompt to confirm whether to use the new crew's equipment defaults or keep the current equipment assignment. Most of the time, the new crew's defaults are what you want.

Equipment assignments

Equipment is assigned per block, not per crew. While crews have default equipment that auto-populates, you can override for any individual block. If a block needs an extra excavator or a specific truck, add it. If a default piece of equipment is in maintenance, remove it and substitute another. The dispatch board shows equipment badges on each block so the field knows what to expect.
