Company settings overview

A guided tour of every settings area in Gradeworks — what each section controls, why it matters, and the recommended setup order.

Settings is where you configure Gradeworks to match how your company operates. There are a lot of options, but you don't need to set everything at once. This overview explains each section so you know where to go when you need to change something.

Company

The Company section holds your core business information: company name, logo (used on bid proposals), contact details, and address. This is the first thing to configure and the least likely to change.

Scheduling

Scheduling settings control how Gradeworks calculates time and cost. This includes your yard location (home base for drive time), truck derating percentage (adjusts drive times for heavy vehicles), drive factor tiers (cost multipliers based on distance), work week days, and the holiday calendar. Users

Manage your team — invite new users, assign roles, deactivate former employees. Every person who touches Gradeworks needs a user account with the appropriate role. See "Inviting your team" and "Roles and permissions" for details.

Crews

Define crew templates with members, hourly rates, crew types, and default equipment. Crews are the units you assign to work blocks and dispatch daily. See "Managing crews and team members" for details.

Equipment

Set up equipment categories and individual machines with operating costs. Equipment assignments flow through to dispatch cards and project cost tracking. See "Setting up equipment categories" for details.

Additional settings areas

  • Cost Codes — define the codes used to categorize line items on bids and track costs on projects
  • Materials — maintain your material catalog with descriptions, categories, and default pricing
  • Vendors — manage vendor information and material price lists
  • Payroll — configure overtime rules, pay periods, and export format for your payroll provider
  • Proposals — set default terms and conditions for bid proposals
  • Field — configure geofence defaults, sign-off deadlines, and field app behavior
Pro tip
Bookmark the Settings page. You'll return to it often in the first few weeks as you discover options that match your workflow. After initial setup, you'll rarely need it — which is the point.
