Outlook and Microsoft 365 sync

Sync your Gradeworks schedule with Outlook or Microsoft 365 — work blocks appear as calendar events in your Outlook calendar.

If your company uses Microsoft 365 or Outlook, you can sync dispatched work blocks to your Outlook calendar. The setup and behavior are nearly identical to Google Calendar sync — work blocks appear as calendar events with project details.

Connecting your Microsoft account

  1. Go to your Profile > Integrations
  2. Click Connect Outlook Calendar
  3. Sign in with your Microsoft 365 or Outlook.com account and grant Gradeworks permission
  4. Select which calendar to sync to
  5. Click Save — sync begins immediately

Differences from Google Calendar sync

  • Microsoft 365 admin policies may require an IT admin to approve the Gradeworks app before individual users can connect — check with your IT team if you see a 'needs admin approval' message
  • Outlook color categories are used to distinguish Gradeworks events from other calendar items
  • Shared mailbox calendars are not supported — sync works with personal calendars only

Enterprise considerations

In organizations with strict security policies, your IT administrator may need to approve Gradeworks as a connected app. This is a one-time approval that lets your team connect their calendars. Gradeworks only requests the ability to create and update calendar events — nothing else.

Pro tip
If you use both Google and Outlook calendars, only connect one. Connecting both creates duplicate events. Choose the calendar you actually check throughout the day.
