Exporting data to CSV and Excel
Export bids, timesheets, project data, and reports from Gradeworks in CSV or Excel format for external analysis, accounting, or record-keeping.
Gradeworks stores your data, but sometimes you need it in a spreadsheet — for your accountant, a lender, a bonding company, or your own analysis. The export system lets you pull data out in standard formats without losing structure.
What you can export
- Bids — line items, totals, customer details, and status for one bid or a filtered list
- Timesheets — weekly time entries with hours, overtime, project codes, and cost codes (formatted for payroll import)
- Project costs — actual vs. estimated costs broken down by cost code
- Material tracking — quantities ordered, delivered, and used per project
- Crew utilization — hours worked by crew across projects for a date range
How to export
Every list view in Gradeworks has an Export button in the top-right area. Click it, choose CSV or Excel (.xlsx) format, and the download starts immediately. The export respects any active filters — if you've filtered the bid list to "Awarded" bids only, the export includes only those bids.
Timesheet export for payroll
The timesheet export is the most commonly used export. It produces a file formatted for your payroll provider — configurable in Settings > Company > Payroll. Fields include worker name, employee ID, regular hours, overtime hours, project codes, and cost codes. Approved timesheets are exported; pending ones are excluded unless you explicitly include them.
Export history
Timesheet exports are logged with a timestamp and the user who initiated them. You can view export history in Timesheets > Export History. This creates an audit trail — you can always verify which timesheets were sent to payroll and when. Other exports (bids, projects) are not logged since they're typically for ad-hoc analysis.
