Inviting your team
Add team members to Gradeworks by sending email invitations — assign roles during setup so everyone has the right access from day one.
Gradeworks is a team tool. The sooner you invite your colleagues, the sooner estimators can collaborate on bids, dispatchers can assign crews, and foremen can receive assignments in the field app. Invitations take 30 seconds to send and new users can be productive within minutes.
Sending invitations
- Navigate to Settings > Users
- Click Invite User
- Enter the person's email address and full name
- Select a role — this determines what they can see and do (see Roles and Permissions for details)
- Click Send Invite — they receive an email with a link to set their password and log in
What the invitee sees
The invitation email includes your company name and a link to create their account. They set a password, log in, and see the dashboard tailored to their role. No additional setup is required on their end — their role permissions and crew assignments are already configured.
Managing pending invitations
The Users page shows pending invitations alongside active users. If an invitation hasn't been accepted after a few days, you can resend it or revoke it and send a new one. Revoked invitations immediately invalidate the original link.
Deactivating users
When someone leaves the company or changes roles, deactivate their account in Settings > Users. Deactivated users can't log in but their historical data (time entries, daily reports, bid activity) is preserved. You can reactivate an account at any time.
